Our eMarketing eMedia Feature allows you to powerfully maintain communication with your customer base; enhance their online experience and relationship with you and your brand; build trust with new customers; and increase repeat business. 

The relationship driven aspect of the XSQUIZZIT TOTECS platform comes to the fore in eMedia as you can send an email message or eNewsletter to specific users and user groups as defined by you. This enables you to target particular clients based on their purchase history, special interest and other criteria as set by you.

Marketing of any kind is incomplete without solid statistics to monitor effectiveness, performance and responses. A comprehensive Statistics facility is built into the eMarketing eMedia Feature where you can measure the email response rate, email bounces and un-subscriptions, unique views and the response rate per day after it is sent.

Whether you are sending hundreds or thousands of eMedia messages, the eMedia Feature will create an intimate experience with your customers online creating online engagement thus driving recurring traffic to your website and/or boosting online sales.

What is eMarketing eMedia

Our eMarketing eMedia Feature enables you to communicate with your customers en mass according your your Digital Communication Strategy.

We refer to eMedia as the different forms of digital communication being email, SMS, social posts, RSS feeds etc.  At present, you can only send email eMedia however not too far in the future, we will add the other forms. 

eMedia emails can be in the form of eNewsletters, email discounts, specials and email promotions to name a few.

Pre-requisites

The first and most important step in preparing to utilise the eMarketing eMedia features, is to ensure you have a clear eMarketing Communication Strategy. This strategy should naturally arise from your overall eCommerce Strategy and commercial strategy.

Your eMarketing Communication Strategy should address the following:

  • What is your purpose/Why communicate with your users?
  • What will the content be?
  • Who is your target audience?
  • How often will you communicate with your target audience?
  • Who will manage the authoring and sending of eMedia?

Once you are clear on your eMarketing Communication Strategy, the next step is to determine how you wish you eMedia HTML template to be designed.  We have 3 template options avaiable for purchase:

  • eMedia package - choose your own templates from our pre-designed selection of 6 eMedia templates.  The packages are ideal to get started quickly and give you great flexibility to control and manage your templates
  • Custom template - Work with us to design and implement a tailored customised template to match your specific branding and content layout requirements
  • Design your own template - Engage your team of HTML/CSS web developers to design and implement eMedia templates using the TOTECS CMS.  This option is ideal for companies who employ web designers and developers who intimately know their branding and content requirements.

Once you have a established eMarketing Communication Strategy and have chosen your template option, then you are ready to start utilising the features available within eMarketing eMedia.

How it Works

How eMarketing eMedia is straight forward in regard to work flows.

Your Marketing Strategy will give rise to your eMarketing Communication Strategy which will determine the eMedia communication you wish to send out and when.

Once this is clear, you will need to setup and prepare your eMedia, assign your target recipients, send a test email before sending it to all of recipients, and monitor responses.

While the above diagram displays the work flow in a linear fashion, it is circular as once you have viewed results, this information will feed back into your eMarketing Communication Strategy and then work it's way back up the chain influencing your Marketing Strategy, and then your overall Commercial Strategy.

How Much Does it Cost

The eMarketing eMedia feature requires eMedia templates. There are three options available when generating an eMedia template.

These include:

  1. Choose our eMedia template package. Our templates have fixed content areas and set image sizes and spaces. You can select 1-3 of our existing 6 templates based on your eMarketing Communication Strategy and the different audiences and/or promotions you wish to generate.
  2. Design your own eMedia template. We give you the reigns to explore the eMarketing eMedia features and design your own template that aligns with your eMarketing Communication Strategy.
  3. Custom design your own template either with us and/or a professional designer. This option is fully flexible with customised content areas and image sizes. This is a personalised and collaborative process to ensure the eMedia template(s) meets your requirements and is a match for your eMarketing Communications Strategy.

There are various fees involved in utilising the eMarketing eMedia features. These include:

  • eMedia template packages/design
  • Training and Consultation
  • eMedia message fees

The fees to send an email are based on the volume of emails you send as opposed to which eMedia package choice you make.

The fees are:

  • 0-10,000 emails - $0.015
  • 10,001-25,000 emails - $0.01
  • 25,001-50,000 emails - $0.0075
  • 50,001-100,000 emails - $0.005

The following is based upon Rowan's email resposne to fee question:

Each eMedia sent incurs a fee of 2 cents per Email. If you wish to send an attachment, an additional fee of 1 cent per 0.2MB applies. As we recommend that no attachments are greater than 1MB, the maximum you will be charged is 5 cents per attachment. 

Note: if you send a file that, for example is 0.5MB, you will be charged 3 cents for this. 1 cent for the first 0.2MB, 1 cent for the second 0.2MB and 1 cent for the 0.1MB.

For instance, if I send 1000 emails, it will cost [INVALID FORM VAR]20 + [INVALID FORM VAR]50.

Frequently Asked Questions

Why can my eNewsletter look different depending on the email browser it's being viewed in?

The templates designed and provided by us will be compatible across all standard browsers. When creating content avoid using CSS or CSS rules as they are often not compatible with Outlook.

The images in my newsletter are not sharp. How do I solve this?

Your image file format may be a low resolution. Try resaving your image at a higher resolution. If your image is too small to begin with you may not be able to enlargen your image without it losing resolution. If you are using a template designed by us, check the pre-set dimensions to ensure your image size in Photoshop, Fireworks, or other Multi Media package match.

The content in my newsletter is skewed. How do I solve this?

To resize an image you can double click on the image and manually change the height and width in the text fields, or you can simply click on the image, hold shift + alt and drag the image to the size you want.

If you notice that your images in a table are not sitting in line with the edges of your table when previewing the overall appearance of the document, check that the width in table properties has been set to 100%. This means that the images and text will fill 100% of the table width. To check the table width, simply right click, go to table properties and fill in “100%” as the width.

If you find your text and images are not aligning to the top of the page within a table, simply right click, go to cell, cell properties and set the vertical alignment to “top”.

If you notice that your images are not in line within your newsletter, right click on the image and then click Image Properties. Within the new window, you will see Align. From here you can left and right align the image, however centre alignment is currently not available as an option.

If you view your newsletter and your images are not sitting at the edge of your newsletter check that the width in table properties has been set to 100%. This means that the images and text will fill 100% of the table width. To check the table width simply right click, go to table properties and fill in “100%” as the width. You must include the '%' symbol.

If you find your text and images are not aligning to the top of the page, simply right click, go to cell, cell properties and set the vertical alignment to “top”.

Where can I find the upload image browsing option?

There are two different ways you can browse and upload images depending on which way you chose to edit your content.

If you edit via All Areas and click on the area you want to edit,  the image browsing icon is a yellow folder icon situated under the My images section.

If you edit via one of the blue dots and click Modify Area,  the image browsing icon is the last icon situated on the right hand side of the editor window. You will then need to click on the yellow folder icon in the My Images section. Then click Browse and Upload.

Make sure you upload all your images to the image library before you insert them into your newsletter. See our document Creating Your Enewsletter: A Step-by-step Guide, Inserting & Aligning Images section for instructions on how to upload images to an image library.

How do my customers subscribe to my newsletter?

Your customers subscribe to subscription categories when they either register or complete an inquiry form embedded in your website.

How do I upload multiple contacts lists?

You can upload as many user lists as you like. Each subsequent upload will overwrite previous matching data. See the Importing Contacts section of this document on how to Import a send list.

What happens with bounced emails?

You can view bounced emails by viewing the Emarketing statistics on the send Emedia page and by clicking on the yellow envelope for your campaign of interest.

Our system will no longer send out emails to a specific email address if it bounces back more than 3 times. The user is not automatically unsubscribed from the marketing category, but in the future we are looking to unmark them from receiving any marketing.

Can I schedule emails to be sent out?

Currently there is no option for this. If there is a demand for this functionality we will look into implementation in the future.

Is there click through tracking?

Our Emarketing module won't show you click through tracking on an individual email basis.

Why is my newsletter appearing fine on my computer but when I do a test email it’s all out of alignment?

To ensure compatibility with all email clients, in particular Outlook please use HTML and the Content Management System provided. Avoid using CSS or CSS rules. Please call us if you have any further issues on 03 93294622.

Can the Enewsletters be viewed on a mobile?

Our content management system for the Emarketing automatically formats your newsletter to be compatible for viewing on other devices such as mobiles and ipads.

Can I measure track hits versus sales hits?

Currently there is no option for this. If there is a demand for this functionality we will look into implementation in the future.

Is there a way of finding out why customers have unsubscribed?

Currently there is no option for this. If there is a demand for this functionality we will look into implementation in the future.

I use your Emarketing Module if I don't have a website with Xsquizzit?

You can use our Emarketing module even if you don't have a website with us. With our Emarketing packages, you can pay upfront to use the module and we leave you to drive your own Emarketing.

We won't be able to import your users for you or assign your users to a marketing category. See links below for these instructions.
